Call for Poster Submissions

New in 2026 – the Patient Engagement Forum: Collaborating for Innovation will be accepting poster submissions for display at the Forum on Nov. 30, 2026 in Toronto, Ontario, Canada.

Poster Submission Opportunity

Patient Voice Partners invites submissions for poster presentations at our upcoming Patient Engagement Forum, proudly brought to you by Patient Voice Partners and Co-Hosted by HealthPartners, bringing together patients, caregivers, researchers, healthcare providers, industry, and system leaders to advance meaningful, measurable patient engagement.

As a movement dedicated to elevating lived experience and translating it into system-level impact, we are hosting a poster session at the forum. The goal is to support ongoing discussions on best patient engagement practices and patient voice in authorship.

We are seeking poster submissions that explore patient engagement, including topics related to collaborations, inclusivity, advocacy, innovation, policy, access, trust, data, clinical research, system sustainability, and/or real-world impact.

Please email an abstract summary (format provided below) of your poster submission to posters@patientvoicepartners.com BEFORE Sept. 10, 2026 to be considered for acceptance. You will hear back by Oct. 10, 2026 as to the status of your application. If accepted, final digital PDFs due by Nov. 10, 2026.

Please note: at least one author of accepted poster must register and attend conference in order to remain accepted and be part of the program.

Priority Themes for Submission

We welcome submissions that address one or more of the following:

  • Meaningful Patient & Caregiver Engagement

o Co-design, co-creation, and/or innovative collaboration and partnership models
o Engagement across the health? lifecycle (research, care, policy, innovation)

  • Structures & Models of Engagement

o Patient councils, advisory boards, and governance models
o How and why engagement structures were created
o Roles, decision-making, and sustainability
o Compensation and recognition approaches

  • Equity, Diversity, Inclusion & Accessibility (EDIA / IDEAS)

o Inclusive engagement strategies and/or collaborations
o Addressing barriers to participation
o Representation of underserved or marginalized communities

  • Impact, Influence & Learning

o Demonstrated or perceived impact of engagement
o Influence on decisions, design, or care
o Measurement approaches or practice-based insights
o Lessons learned and scalability

  • Evolving & Emerging Approaches to Engagement

o Innovative digital tools, AI-enabled engagement (e.g., simulated conversations, insight generation)
o New or adapted models for capturing lived experience

  • Patient Voice in Decision-Making

o Influence on health system design, clinical trials, policy, or care pathways
o Integration of patient insights into strategy and implementation

  • Lived Experience, Perspectives & Story-Informed Insights

o Patient and caregiver perspectives that shaped change
o Reflections on engagement experiences
o Insights from navigating systems and services

We strongly encourage submissions that may not traditionally fit academic formats, including:

  • Practice-based or real-world engagement
  • Lessons from challenges or failed approaches
  • Caregiver-led insights
  • Clinic-level innovations
  • Industry or applied engagement examples
  • Emerging digital or AI-enabled engagement models

In 2026, submissions at all stages are welcome, including early-stage, in-progress, or evolving work, provided results at the current stage can be demonstrated or intended measurements are clearly described. Patients and caregivers should be represented in authorship and this should be indicated by * or confirmation statement that patients and caregivers were included across authorship. Definition of patient for this purpose is: diagnosed by medical professionals with chronic condition requiring ongoing care and manangement and/or caregiver supporting care/management of patient and may be spouse, child, partner, friend, relative of patient, etc. (treating health care professional is not included).

Submission Requirements

Submissions may represent research, programs, initiatives, or lived experience–driven insights.

Template provided for FINAL PDF poster version is recommended, but not mandatory (due Nov. 10, 2026 for accepted abstracts)

Step 1 (due by SEPT 10, 2026): Submit Abstract Content (Max 650 words).

Submissions should include:

  • Title & Authors
    • Include affiliations; identify patient/caregiver authors where applicable
  • Background / Purpose
    • What challenge or opportunity is being addressed?
  • Aims / Objectives
    • What are the specific aims/objectives of the project?
  • Approach / Methods
    • How were patients/caregivers engaged?
    • What frameworks or methods were used?
    • How was information and/or data collected?
    • What analytical approaches were used?
  • Patient Engagement or Innovation Description
    • Clearly describe how engagement was designed/embedded
    • Reflect level of engagement (e.g., consult, collaborate, co-lead)
  • Equity & Inclusion Considerations
    • How were EDIA / IDEAS principles integrated in:
      • Team composition
      • Engagement design and execution
  • Results & Impact
    • What changed as a result of this work?
    • Include measurable outcomes where possible
  • Key Insights / Lessons Learned
    • What should others take away?

    • Why does this matter for advancing patient-centred care?

Poster Presentation Requirements

Accepted ABSTRACTS will be required to:

  • Present a physical poster during the conference
  • Provide a digital version during the submission process due by Nov. 10, 2026 
  • Participate in live discussion with attendees during interactive break sessions
  • Register and have a representative attend the conference live
  • Consent includes sharing the title of the accepted poster on https://patientvoicepartners.com after the event

Poster content must clearly demonstrate:

  • Patient engagement and/or innovation approach
  • Equity and inclusion considerations
  • Outcomes and/or impact
  • Applicability to broader systems or stakeholders

What the Patient Engagement Forum Is Looking For

The Review Committee prioritizes work that:

  • Moves beyond engagement as a checkbox
  • Demonstrates co-creation and shared decision-making
  • Shows clear outcomes or system influence
  • Reflects diverse lived experiences (and can be diverse voices or partners)
  • Is methodologically sound
  • Can inform scalable, real-world solutions

Selection Criteria

Submissions will be reviewed based on:

  • Strength and authenticity of patient engagement, diverse voice inclusion, and/or overall innovation
  • Integration of equity, diversity, and inclusion
  • Clarity of outcomes and impact
  • Relevance to multi-voice audiences
  • Innovation and applicability

Patient Engagement Forum – Poster Template Guide

Your poster should clearly demonstrate meaningful patient engagement, inclusivity, innovation, and real-world impact. Keep content concise, visual, and easy to scan.

Title & Authors

  • Clear, descriptive title
  • List all authors and affiliations
  • Bold the presenting author
  • Identify patient/caregiver contributors where applicable OR indicate after authors* *patients and caregivers represented in authorship

Background / Why This Matters

  • What problem, gap, or opportunity are you addressing?
  • Why is patient/caregiver voice important in this context?

Aims / Objectives

  • What are the specific aims/objectives of the project?

Approach to Patient Engagement or Innovation

  • Overall methodology
  • Who was engaged (patients, caregivers, communities)?
  • How were they engaged (methods, frequency, format)?

Design Tips

  1. Use plain language(accessible to all audiences)
  2. Prioritize visuals over text(charts, icons, diagrams)
  3. Keep sections clearly labeled and easy to scan
  4. Ensure readability from 1–2 meters away width 48” by 36” height – use the Poster template provided, recommended but not required
  5. You can print on canvas or laminate (makes for easier rolling and storage), if you wish (printing of PDF version is recommended to keep formatting in tact)
  6. Use inclusive language and respectful terminology
